This policy has two parts. Part 1 covers this website, nexoratechnologies.co: what we collect when you visit or contact us. Part 2 covers Nexora Recon, our QuickBooks Online reconciliation service for accounting firms: the data of the firms that use it, and the QuickBooks and bank statement data of their clients that we process on each firm's behalf. The Nexora Recon Terms of Service also apply to firms that use Nexora Recon.
Part 1 — This website
What we collect
- What you send us. When you ask for the free trial or write to us: your name, work email, firm name, how many client companies you have, and your message.
- Where the visit came from. The page you arrived on, the referring site, any campaign tags in the link (utm_…), and, if you came from one of our Google ads, Google's ad click id (gclid, gbraid or wbraid). We keep the click id in your browser for up to 90 days and send it with the trial form.
- Visit statistics. Our own analytics (Umami, run on our servers) counts page views and button clicks. It sets no cookies and doesn't identify you.
- Google Ads measurement. The Google tag lets Google Ads tell us which ads led to a trial request or a demo visit. It uses Google cookies. You can opt out (below).
How we use it
- To answer you and set up the trial or the service you asked about.
- To learn which ads and pages work. When a firm that came from an ad becomes a customer, we tell Google Ads that the ad click converted (by its click id), so our ads reach similar firms. We don't send Google your name or email for this.
- We don't sell your information, and we don't share it except with the services that run this site and our email (Amazon Web Services, Google) and as the law requires.
Your choices
- Ad cookies: use Cookie choices at the bottom of our pages, or the banner, and pick Opt out. In the EEA, the UK and Switzerland they're off until you accept. You can also control Google's ad personalization at myadcenter.google.com.
- Our emails: reply "no" or "unsubscribe" to any email from us and we stop.
How long we keep it
Trial requests and emails: while we're in touch, and afterwards only as long as we need them for our records. You can ask us to delete them at any time. Ad click ids: 90 days in your browser.
Part 2 — Nexora Recon
Who is responsible for what
Nexora Recon is used by accounting and bookkeeping firms ("Firms") to reconcile their clients' books. For the client data a Firm connects or uploads (QuickBooks data and bank and card statements), the Firm decides what is connected and uploaded and is responsible for it; Nexora processes that data only on the Firm's behalf and on its instructions. For the Firm's own account data (the names and work emails of its users), Nexora is responsible.
If you are a client of a Firm and have a question about your data, please contact the Firm first. We will help the Firm answer your request.
Firm account data
- Users: name, work email and role (super admin, admin, or staff responsible for specific clients). Sign-in is limited to the Firm's own email domain, and every user must set up multi-factor authentication with an authenticator app.
- Activity: sign-ins, who connected or disconnected each client company, and who approved each entry created in QuickBooks, with the time.
- Billing contact: the contact details the Firm gives us for invoices.
- Work report recipients: Nexora Recon emails a daily report of changes in clients' books to the recipients the Firm chooses, all on the Firm's email domain.
QuickBooks data we read, and why
A client company is connected only by a person entitled to grant access to it, through Intuit's sign-in. Nexora Recon
uses Intuit's accounting permission (com.intuit.quickbooks.accounting) only: no payroll, payments or personal
sign-in permissions. With that authorization it reads:
- company information;
- the profit and loss and balance sheet reports;
- the general ledger for bank and credit card accounts, including cleared and reconciled marks;
- invoices, bills, expenses, deposits, payments, sales receipts, estimates, recurring transactions, customers, vendors and the chart of accounts;
- a daily list of what changed in the company, for the Firm's work report.
We read this data to compare each client's books with its statements, show the Firm what is missing or doesn't match, suggest entries, and avoid creating duplicates.
What we write to QuickBooks
Nexora Recon creates entries in a client's QuickBooks company only when a user of the Firm approves specific statement lines (Add to QuickBooks). It only creates new Purchases (Expenses), Deposits, Transfers and Credit Card Payments, with the date and amount from the statement. It never edits, voids or deletes existing transactions. Each created entry is recorded with who approved it and when.
Statements
Bank and credit card statements (PDF, CSV or XLSX) that the Firm uploads, and the transaction lines extracted from them.
How we use client data, and what we never do
QuickBooks data and statements are used only to provide Nexora Recon to the Firm that connected the company. We do not sell this data, use it for advertising, use it to train AI models, combine it with other Firms' data, or use it for any other product.
Artificial intelligence
Nexora Recon uses Claude, an AI model provided by Anthropic, PBC, through Nexora's commercial API account. Claude reads the text of uploaded statements and the QuickBooks data needed for the task in order to propose matches and entries and to explain reconciliation differences. It sends nothing to QuickBooks itself: people at the Firm review and approve every entry. Data goes to Anthropic over an encrypted connection. Under Anthropic's commercial terms and its Data Processing Addendum, Anthropic acts as our service provider and does not use this data to train its models. Anthropic keeps it only for the limited time its commercial terms allow, to provide the service and detect misuse.
Subprocessors
| Company | What it does for Nexora Recon | Location |
|---|---|---|
| Amazon Web Services, Inc. | Hosting, storage, sign-in and email delivery of work reports | United States (us-east-1) |
| Anthropic, PBC | AI processing of statements and QuickBooks data, as described above | United States |
| Intuit Inc. | Source of QuickBooks Online data, at the Firm's and its client's direction | United States |
We will update this list at least 30 days before adding a new subprocessor.
Where data is stored and how it is protected
- All Nexora Recon data is stored in the United States (Amazon Web Services, us-east-1).
- Each Firm has an isolated workspace with its own sign-in, storage and access role. No other Firm can reach it.
- Multi-factor authentication is required for every user, and sign-in is limited to the Firm's email domain.
- Data is encrypted in transit (TLS 1.2 or newer) and at rest.
- QuickBooks connection tokens are stored encrypted in AWS Secrets Manager and can be read only by the Firm's own workspace. They are never sent to the browser or written to logs.
- Nexora staff access a Firm's workspace only to operate and support the service, and that access is recorded.
- Technical logs contain no QuickBooks or bank data and are kept for 90 days.
Cookies in Nexora Recon
The Nexora Recon workspace sets only the cookies needed to keep you signed in and to protect the QuickBooks connection step. It uses no analytics or advertising cookies. (The Google Ads cookies in Part 1 apply only to this website.)
How long we keep it
- Trial that doesn't continue: we email the Firm's super admins first, and delete the workspace and all its data 30 days after the trial ends.
- Disconnected client company: when the Firm disconnects a client in Nexora Recon, its QuickBooks access is revoked at Intuit and its stored token is deleted immediately. If the client disconnects the app from QuickBooks instead, Intuit stops accepting the token at once, so Nexora Recon can no longer read the company; the stored token is deleted within 30 days after the disconnection is detected. The client's statements and reconciliation history stay in the Firm's workspace until the Firm removes the client or closes its account.
- Removed client: on the Firm's request (email info@nexoratechnologies.co), we revoke the client's QuickBooks access and delete its statements, reconciliation history and records from the Firm's workspace within 30 days.
- Account closure: we revoke all of the Firm's QuickBooks connections at Intuit and delete all its data within 30 days, except where the law requires us to keep something.
- Technical logs: 90 days.
How a client company disconnects
- In Nexora Recon: open the client and click Disconnect.
- In QuickBooks Online: go to the Apps section of the company's settings and disconnect Nexora Recon.
Children
Nexora Recon is a service for businesses. It is not directed to children, and we do not knowingly collect information from anyone under 13.
Your rights and requests
- Email info@nexoratechnologies.co to see, correct or delete what we hold about you. We answer within 45 days.
- If you are a client of a Firm that uses Nexora Recon, contact the Firm first; we will help it answer your request.
- A Firm can ask us at any time to delete a client's data or all of its data.
Changes to this policy
We will post changes here and update the effective date. For a material change that affects Nexora Recon, we will email the super admins of each Firm at least 30 days before it takes effect.
