How to automate bank reconciliation in QuickBooks Online for your whole client list

Bank feeds and rules automate data entry. They don't automate the proof that the books match the statement, and they work one company at a time. Here's what each layer of automation does, and what to look for if you reconcile for many clients.

Three layers people call "automation"

LayerWhat it automatesWhat it doesn't
Bank feedsImporting transactions into QuickBooksProving nothing is missing or duplicated; feeds can drop or repeat items
Bank rules & matchingCategorizing and matching recurring transactionsJudging new or unusual items; a wrong rule repeats its mistake
Statement reconciliation toolsReading the statement and comparing every line with the booksDepends on the tool: some work one company at a time, some across clients

Bank feeds and rules: necessary, not sufficient

Feeds and rules take the typing out of bookkeeping, and every firm should use them. But they answer "what came in from the bank connection?", not "do the books match the bank's official statement?" Connections break and re-sync, institutions change formats, and the same transaction can be both added from the feed and recorded manually. That's why reconciliation against the statement still matters. See the usual causes of discrepancies.

QuickBooks' own reconciliation tools

QuickBooks Online's reconcile screen is solid for one company at a time. On QuickBooks Online Plus and Advanced, Intuit also offers an AI-powered reconcile that reads an uploaded statement and sorts the lines into paired, needs-review and extra transactions. For a firm, the limits are about scale and plans rather than the screen: you still work one client file at a time, and clients on Simple Start or Essentials don't get the AI-powered version. What to look for in a reconciliation tool for firms

Is it worth it? A quick calculation

Take the hours your team spends each month collecting statements, ticking lines, and recording missing entries, multiplied by your loaded hourly cost. For a firm reconciling 20 companies, even 30 minutes saved per company is 10 hours a month. At $19 per company, 20 companies cost $380 a month: the tool pays for itself if it saves a few hours of staff time.

How Nexora Recon does it

  1. Connect QuickBooks: one click per client company.
  2. Get the statements: it tells you exactly which statement it's missing. Drop the PDF or CSV in, or switch on auto-chase so it emails the client.
  3. Review what it found: every line is cross-checked; missing transactions come with the entry ready to add, and you approve before anything is written to QuickBooks.

It runs every day at Marketium, the accounting firm we built it with, on more than 40 client companies. Open the live demo (sample data, no sign-up) or see the full product page.

Frequently asked questions

Can bank reconciliation in QuickBooks Online be fully automated?

The comparison can be: a tool can read the statement and match every line to the books. The decisions shouldn't be. New entries should still be approved by a person before they're written to QuickBooks.

Do bank rules replace reconciliation?

No. Rules categorize and match transactions from the feed; reconciliation proves the books match the bank's statement. You need both.

Does Nexora Recon change anything in QuickBooks on its own?

No. It reads QuickBooks to do the comparison. Suggested entries are only created after someone at your firm approves them, and it never edits or deletes existing entries.

Which QuickBooks versions does Nexora Recon support?

QuickBooks Online on every plan (Simple Start, Essentials, Plus and Advanced), including QuickBooks Online Accountant. QuickBooks Desktop isn't supported.

How much does it cost?

$19 per QuickBooks Online company per month, with a 10-company minimum ($190/month), AI processing included. There's a free 7-day trial on up to 10 of your client companies.
