Do your clients need QuickBooks Online Plus for AI reconciliation? What it costs a 50- or 100-client firm
QuickBooks Online's AI-powered reconcile is only on Plus and Advanced, and a firm's own subscription doesn't pass a plan down to its clients. So the real question for a firm is what it costs to upgrade everyone. Here's the math, using Intuit's current prices.
Does a firm's plan pass down to its clients?
No. In QuickBooks Online the plan belongs to each client's company file. When your firm opens a client's books, you see the features of the plan that client is on. Your firm's own subscription (QuickBooks Online Accountant today, Intuit Accountant Suite from 2027) gives you firm-level tools, but it doesn't upgrade any client's file.
So if a feature is only on Plus and Advanced, such as the AI-powered reconcile that reads an uploaded statement, every client who should get it has to be on Plus or Advanced.

What upgrading clients to Plus costs
The number that matters is the difference between each client's current plan and Plus:
- Essentials → Plus: +$55 per client per month at list, +$38.50 with the firm discount.
- Simple Start → Plus: +$102 per client per month at list, +$71.40 with the firm discount.

For a 100-client firm whose clients are on Essentials, that's $1,950 to $3,600 a month less than upgrading everyone to Plus, and Nexora Recon covers the clients already on Plus and Advanced too, with one dashboard across all of them.
A more realistic firm: a mix of plans
Most client lists are mixed. At Marketium, the accounting firm Nexora Recon was built with, about 4 in 10 clients are on Simple Start or Essentials. Scaled to 100 clients, say 35 on Essentials and 5 on Simple Start:
- Upgrading those 40 to Plus: 35 × $55 + 5 × $102 = $2,435 a month at list ($1,704.50 with the firm discount), about $20,000 to $29,000 a year.

Who pays for the upgrade?
- If clients pay Intuit directly, every upgrade is a conversation: you're asking 40 or 100 clients to pay more, one by one.
- If your firm pays at the discount and rebills, every upgrade comes out of your margin unless you raise your fees.
Either way, a per-client tool priced below the upgrade difference lets the firm offer the same reconciliation to every client without changing anyone's plan.
The firm-side costs from 2027
Intuit Accountant Suite replaces QuickBooks Online Accountant after December 31, 2026. Intuit lists Core as free, Accelerate at $149 a month starting January 20, 2027, and the Books Close add-on at $8 per onboarded client per month up to 50 clients, or $6 per client above 50, from January 2027. For 100 clients, Books Close would be about $600 a month. These are firm-level tools for tracking the close; they don't change which plan each client is on.
When upgrading to Plus is still right
Upgrade a client when they need what Plus actually adds for their business, such as inventory, project tracking or more users, not just for reconciliation.
